Executive Assistant to CEO

Description:Nanobiosym is an innovative nanotechnology company in Cambridge, MA that is developing point-of-care diagnostics to address a broad range of diseases. Nanobiosym was founded by an MIT/Harvard alum to work at the interface of physics, nanotechnology, and biomedicine.

In this position, you will provide a wide range of operational and administrative support to the Chairman and CEO. You will be expected to anticipate the needs of the CEO and other team members and help to resolve operational and administrative issues before they arise. In this position, you will be expected to wear many hats.

You are very seasoned in the type of role which requires you to anticipate needs and see to them in a fast-moving environment. You are organized, analytical, and possess strong business judgment and the communication skills needed to interact with a variety of people, both inside and outside of the company. You are a hands-on, self-motivated, smart and emotionally intelligent individual who thrives dynamic workplace.
Duties:• Strategically manage and maintain the schedule of the CEO so that every day is efficiently organized
• Work with the CEO and other team members to coordinate communications, agenda planning, and logistics, and follow up on action items, as needed
• Manage complex calendars and scheduling
• Work with peers and direct reports of the CEO to manage cross-functional initiatives from start to completion
• Act as a “gatekeeper,” understanding the needs and priorities of the CEO
• Perform an array of administrative and office management tasks (manage calendars, book travel, schedule facilities and equipment, handle orders)
• Handle a large volume of communications including answer calls, screen calls, take messages, and re-direct to the appropriate person
• Assist in handling of purchase orders, accounts receivable, accounts payable, budgets, and expense reports
• Maintain existing office management systems while providing innovative ideas and the resourcefulness to implement those ideas from start to finish
• Handle multiple tasks, switching priorities and focus as needed
• Work with and manage highly sensitive and confidential information with discretion
• Manage multiple tasks and meet strict deadlines
• Foresee problems and handle them before they become issues
Qualifications:• BA/BS degree
• At least 10 years of administrative experience supporting C-level and/or Founder
• Experience providing support in a fast-paced environment, especially in a high growth start-up, is a plus
• Ability to quickly learn new tools and technologies
• Immediate availability, responsiveness, and a proactive mindset
• Excellent verbal and written communication skills
• Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
• Very strong interpersonal skills
• Emotional maturity
• Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment
• Advanced proficiency in Microsoft Office (Outlook, Word, Excel)
